If you need to purchase additional seats (users) to your account, you can do so if you have a credit card on file.

1. Click on the Username on the top right of the page, and click People.

2. While on the People page, you will see the Add User button on the right side of the screen.

3. At the top of the Add User page, there is a banner that notifies you that you are either out of seats or tells you how many available seats you have left. You will then select Add Seats.

4. You can then select the number of seats you want to purchase. The cost of the additional seats will vary depending on your subscription level.

The additional seats will be billed in either monthly/annual terms, depending on how your subscription is set up. For example, if you pay for your subscription once per year, then you will be charged upfront for the additional seats for a year. If you pay for your subscription on monthly terms, then the additional seats will be billed monthly as well.

If you have a user that was previously active, they will need to be reactivated. The Corporate Admin of the account has permission to deactivate and reactivate users on the account. 

1. Click on your username in the top right, and click on People.

2. Click the dropdown next to Active Users, and choose Inactive Users.

3. All inactive users will display. Click on the inactive user you would like to reactivate.

4. Click Edit User.

5. Click Make User Active.

If the user has not been active for a while, you may also click Reset Password to assist in their login.

If you are trying to add a user and you see the error message This email address already has an account this means that for one of two reasons, the email address you are trying to add already has an account in the Email on Acid system. Each email can only be used for one account.

Reason 1: The User is in Inactive

Sometimes a user is already included in the corporate admin account but has previously been made inactive. The good news, it is easy to reactivate the user!

1. Click on People from your user menu dropdown.

2. On the upper left side below People, click on Active Users to toggle to Inactive Users.

3. All inactive users will display. Click on the inactive user you would like to reactivate.

4. Click Edit User.

5. Click Make User Active.

Reason 2: The User has an Individual Account.

If the user is not located under your inactive users, this means they have an independent account with Email on Acid. This can be easily fixed as well.

Ask the user to email us from that account and request the existing account to be deleted. When we delete that account, all projects and related information will be removed. You can then add the email address to your corporate account! For security purposes, we will not act on another user’s account without their permission.

Managing users is easy through your Email on Acid account. You can reset a user password, edit their profile, or deactivate a user all in one place! 

1. Click on your username, and click People

2. Locate the user you want to edit, and click any where by their name

3. Click Edit User

4. If you are editing a user, click Edit on any field and then click Done. To send a password reset email, click Reset Password, or to remove a user click Make user inactive.

Note: Making a user does not delete them from our system. Deleting a user entirely must be requested by the corporate admin. Deleting a user will result in the loss of any projects added from that users account for all users.

Folders are a great way to organize content, and depending on your account type, organize who can see which content.  Each account type has a different level of folder access, see our pricing to see what level of your account type offers. If your account does not have the tool you need to work with your team, learn how to upgrade your subscription here.

Creating Folders

1. To start building your folders, click Projects from the navigation pane.

2. Click on the circled plus sign next to Folders, or click on the folder with plus sign

3. Type in the folder name, and click Create Folder. You will notice that once you have built one folder, you can nest sub-folders within. For example, you may have a folder for each months’ work, and add sub-folders for projects within those month folders by clicking the check box next to Nest under another folder.

Once a folder is created you can access it by clicking on the folder name to the right. Once in the folder, click on the three dots at the top or the right to add a subfolder, rename, move or delete the folder.

Moving Projects to Folders

Moving projects to folders is easy. Click on the circle in front of the project or click on the three dots to the right of the project, then click Move. Select the folder and click Move Project.

Professional and Enterprise accounts can assign users to folders.

We make it easy to add and manage users on your account. Each account type has a set number of free users, but an account administrator can add additional seats within the People section of their account.

  • The Basics
    • One user at no additional cost.
  • Premium
    • Three users at no additional cost.
  • Enterprise
    • 10+ users / Custom

There are three user types you can add to your account:

  • Administrator
    • Has the ability to create, edit and delete projects. Can create, edit, and delete folders. Can add, edit, or remove users. Can make additional seat purchases on an account.
  • General
    • Has the ability to create, edit and delete projects. Can create, edit, and delete folders. Can see but not add or edit other users.
  • Read-Only
    • Has the ability to view projects, but not run tests or make edits. Can see but not add or edit other users. Read-only users are free and can be added to any account without taking a paid seat.

Note: An Administrator on Enterprise accounts can create custom user permissions and assign users to specific folders.

To add a new user:

1. Click on the Username on the upper right of the page, and click People

2. Click Add User

3. If you have enough seats (users) available, or are adding a read-only user, you will enter the First Name, Last Name, Email, Permission type, and project visibility pending user type. Then click

4. If you need to add additional seats (users) to your account, you can do so if you have a credit card on file. Click on Add More Seats , and complete the additional seat sign-up. If you do not have a credit card on file, contact helpdesk@emailonacid.com for support. Once you have added the needed seats, you can then follow step 3 to add the user.

Once the user has been added they will receive an invite via email. They will set up their username and password, and immediately be able to log in. If for any reason the user does not receive an invite, click here for steps on how to provide the registration link directly. If you receive an error that the user already exists, click here to learn how to resolve this.

Custom User Profiles

Enterprise customers can set up custom user profiles to manage the permissions of each user. If this is a feature you need for your team, click here to learn how to upgrade. To create a custom profile:

1. Click on Manage user profiles.

2. Click Create New Profile.

3. Create the profile name, and choose the permission, then click Create.

You can now assign the new profile to your user. Click on the user profile under General User Profiles, chose the custom profile from the drop-down. Then click Done .  The user will just need to log out, and back in, and they will have the updated permissions.
